As CIO of Carall= el, a healthcare startup navigating HIPAA compliance and high-trust custome= r requirements, he started with a number of decisions he'd soon undo: BYOD = for marketing folks, manual device tracking, spreadsheets for access manage= ment. "Within a year, we just said, we have to move to managing it all," Paul adm= its. What changed? The company grew from 10 laptops to 45+ devices. Suddenl= y, those "good enough" decisions weren't good enough anymore. **The compounding cost of IT shortcuts** The thing about early IT decisions is that, yes, while things no longer wor= king at scale is obviously a concern, the bigger concern is when those deci= sions start to actively work against you.=C2=A0 Paul's experience illustrates three critical inflection points where shortc= uts become sinkholes: **Device management debt.** When you're managing 10 laptops, tracking them = in a spreadsheet feels manageable. At 45 devices across multiple states? Pa= ul was driving 90 minutes round-trip to rural Oklahoma UPS stores, spending= hours each week on shipments, missing power cords, and inventory chaos. "T= hose little annoyances add up over the course of the year," he notes. **Identity sprawl.** Shared accounts and inconsistent password rules might = work when your company's still very small. But as Paul discovered, "When th= ree becomes 30, becomes 60, it doesn't work anymore." And for Carallel, dea= ling with PHI and PII meant they couldn't afford the mess.=C2=A0 **The vendor lock-in trap.** Perhaps the most painful example: Paul selecte= d a form creation tool years ago. Single user license? $200/month. Multiple= users? $10,000/month. "We're kind of stuck because we're using it," he say= s. The migration cost, both in time and user disruption, is now higher than= the pain of working around a shared account. IT decisions that optimize for "solving today's problem" create tomorrow's = crisis. Here's what Paul learned the hard way: **Don't scale: Manual processes**. Spreadsheet tracking, individual device = provisioning, email-based credential sharing. These don't just slow down, t= hey break entirely. **Don't scale: Point solutions without integration.** JumpCloud worked for = MDM, but couldn't handle physical asset management. Google Workspace handle= d SSO, but made role-based access control painful. "We're trying to central= ize as much as we can... one account for everything," Paul explains.=C2=A0 **Do scale: Automation from day one.** "Automate, automate, automate," Paul= emphasizes. "Wherever you can identify opportunities to take processes tha= t require human intervention... figure out how to make that automatically r= eplicable." **Do scale: Compliance-forward thinking.** Understanding your industry's la= ndscape, even requirements you won't face for another year, shapes better v= endor selection. "Are they HIPAA compliant? Can they provide onshore resour= ces?" These questions matter before you're locked in.
